Show returned calls

To determine if a call has been returned, you have to click the call and view the "detail" panel (center column).  I'd like a simple indicator on the left call summary panel to indicate if anyone has returned the call.

There's another way to improve this feature.  If a call hasn't been returned, it could be red.  Returned calls would be green.  In addition, it would be nice to have the ability to manually change these colors.  For example, the call wasn't returned but the issue was resolved thru email or other means...so, the user would change the status to green. Or, the call was returned but additional follow up is needed...so, it stays red.

This is a great solution.  I suggested something similar.  We need to be able to review voicemails and callbacks at a glance to determine how to handle.

We have a proposed solution for this and I'm putting the draft spec up here for public comment.

 

Ring Flags

Ring Flags are a little indicator by a Ring that allow users to know if the Ring needs to be followed up.

You can change the flag color manually, or use the "Returned Calls" feature to flag the rings automatically.

The flag colors can mean whatever a user wants, but a suggested basic meaning would be:

  • Grey - normal state of a Ring
  • Red - needs follow up
  • Green - has been followed up

The flag appears in the Ringlist (left pane of GUI) and in the Contact interaction history (center pane of GUI), and can be toggled in either parts of the interface.

Within a specific view of the Ringlist, Rings can be further filtered by their flag status. By default, all rings in the view are shown and the flag is in "grey" state, which means all rings. The user can click on the flag and it goes to "red flag" and only shows Rings with a red flag, and then "green flag" and shows only rings with a green flag, then back to grey with one more click.

Whenever a ring is flagged, the information of who flagged it last, when, and with what color is available by hovering the mouse on the flag:

The text would read:

(Flagged red|Flagged green|Unflagged) by <user first name> at <relative timestamp, short format>

Returned Calls

A common pattern of use of Ringio is that a team of people is working towards answering all the calls into a department. For that purpose, it's useful to know if a phone call that wasn't live was indeed returned.

To make this pattern possible, we would apply the following changes in behavior

  1. automatically flag with a red flag any Voicemail or Callback. ("Flagged red by the system at <relative timestamp, short format>")
  2. when a user clicks on a ring and then on the contact information that corresponds with that ring and makes an outbound call that completes, we automatically green flag the corresponding original ring ("Returned call by <user first name> at <relative timestamp, short format>)
  3. the corresponding new ring created by the "returning outbound call", regardless of outcome, is logged as a Team Call for the department of the original ring, if the original was a team ring, that the user clicked in order to call out. (e.g if the original ring was a "technical support" team ring, the outbound ring is a "technical support" team ring too). If the original was a personal ring, then the returned ring is also a personal ring. The text of the "returned" ring is "(I|<User first name>) returned a call from <contact info>" if the call is successful or "<contact info> missed a returned call from (me|<user first name>)" if the outbound call outcome is unsuccessful

I like the concept.  As a I understand it, it the flag colors will change based upon call returns, plus, we'll have the ability to change the flags if we need to escalate or have someone else assist with the call.  Lastly, we'll be able to see at a glance the flags for calls and be able to filter by them.  One suggestion I would make is to have 3 system delivered default colors and meanings as  suggested (gray normal state, red for needs follow up/green for for complete) that cannot be modified.  I would then add three generic colors (blue, yellow, black) that could be assigned on the account level (maybe in Departments or Other Options).  If a user returned a call for example, which automatically creates a green flag, I could then manually assign it a blue flag which we would internally designate to mean manager follow up.
