Call Queue - If all the reps are on the line keep the customer in the queue untill someone is available

Call Queue

 

If all of the support/sales reps are busy or on another call allow the on-hold music to continue to play and have the customer wait on hold untill a rep becomes available.

Have a rule that states if the person is on hold for more than xxx minutes then transfer the caller to voicemail.

 

the rule can be changed depending on the needs for each business... example some companies might be ok with people waiting on hold for 15 minutes while others like ourselves feel that 5 minutes or less and if no one is available then transfer them to voicemail...

 

Please respond if this is in the works or something that is difficult for you to do... i noticed similar posts on this but no replies...

My guess is that this would be difficult to offer with their current pricing structure, ie, flat monthly fee per user.  When customers get put on hold, the minutes start to rack up and that gets expensive for Ringio.   Maybe a solution would be to offer XXX free minutes per month/day/year/whatever with each account and then additional minutes are billed at xxx per minute.   It makes billing more difficult but I think it would make Ringio more attractive to more businesses.

This is a must have for our business. We have not fully moved our customer calls completely to ringio yet because we need to re-think how we will handle calling customers back.  As a side note: RingCentral (so does virtualpbx.com) offers this as part of the package. On RingCentral,  I was on a 10,000 minute plan, unlimited users/departments for $49.95 per month. (This is not listed on their website. You have to call a sales person for it).

As far as how it works best for us:

As mentioned above, multiple callers call in at once, those who do not receive an "agent" are placed into a holding queue. The company can decide the length of time customers can wait up to an including unlimited amount of time. 

While on hold, it would be nice to then be able to have music and messages play ie: Thank you for holding. OR even promotional recordings such as "Have you joined our mailed list? Sign up today and save 20%". 

As a side note: VirtualPbx had a really cool option that I haven't seen elsewhere. They allowed for an overflow queue. If calls holding in the customer service department hit a certain number, those calls would flow to another department. 

The overflow is not a big priority for me, but it would be nice down the road.

The provider I currently use (until Ringio implements this option and we switch back) offers the option as an Admin selection by department.  The queue option is a minimum 1 minute in queue hold time to a maximum 5 minute in queue hold time .  The length of queue hold time is the admin's option.

At the conclusion of the maximum elected hold time, my current system transfers the caller to a pre-recorded greeting that says "We are sorry that your hold time has reached X minutes.  If you prefer to continue to hold press 1 now.  Otherwise, we'll allow you to leave a voice message and we'll return your call"  If the caller presses 1 they are returned to the queue and they maintain their call order.  If the caller does not press 1 they are transferred to the departmental voicemail.

I pay a flat additional $10 fee per user  for a maximum of 15 simultaneous calls in the queue.  If an 16th call attempts to enter the queue the caller hears a message that the department has a high call volume and asks the caller to either press 1 to leave a voicemail or to call at a later time.
